Mobility & Accessibility:

We want every guest to have the best possible travel experience. Please keep in mind that accessibility standards and accommodations can vary significantly outside of the United States. International destinations, hotels, transportation providers, river cruises, and sea cruises may offer limited accessibility features and may not meet U.S. ADA standards.

Some experiences may include walking on uneven surfaces, cobblestone streets, stairs, inclines, extended periods of standing, and boarding smaller vehicles or boats. Due to space limitations, certain mobility devices, including wheelchairs, scooters, and walkers, may not be accommodated on all transfers, excursions, motor coaches, or cruise vessels.

If you require mobility assistance, medical accommodations, or additional support, please let us know as early as possible. We will gladly submit requests to our travel partners and suppliers; however, accommodations are subject to availability and cannot be guaranteed.

Important Travel Information

Passport Requirements
A valid passport is required for this experience. Your passport must remain valid for at least six months beyond your travel dates and should not expire before November 26, 2027. If you need to renew your passport, we recommend doing so as early as possible.

Pricing & Currency Fluctuations
All package prices are based on exchange rates in effect at the time of publication. While we hope exchange rates remain stable, significant changes in currency values may result in pricing adjustments. If necessary, any changes due to currency fluctuations will be reflected on your final invoice.

Roommate Matching Program
Traveling solo but prefer double occupancy pricing? We’ve got you covered. Simply select “Roommate Requested” on your reservation form. Roommate matching begins approximately 60 days before departure and once travelers have paid at least 75% of their package balance. While we work hard to match compatible roommates, roommate assignments cannot be guaranteed.

Arrival Information
The official hotel check-in date is May 26, 2027. Guests departing from the United States should schedule flights arriving at Tokyo International Airport – Haneda (HND) on May 26, 2027, no later than 3:00 PM local time.

Departure Information
Please schedule your return flight from Tokyo International Airport – Haneda (HND) on June 1, 2027.

Detailed Itinerary
A comprehensive itinerary, including activity details and recommendations for your free time, will be emailed approximately 60 days prior to departure.

Departure Lounge Calls
Our Departure Lounge Zoom sessions are designed to help you prepare for an amazing travel experience. These calls are typically held about 30 days before departure, with Zoom details emailed approximately one week before the call.

Private Traveler Community
Our private Facebook group opens approximately 60 days before departure and is the perfect place to connect with fellow travelers, ask questions, receive updates, and start building excitement before we head to Tokyo. Invitations will be sent to the email address on file.

Payment Plan Information

To keep your reservation active, monthly or bi-weekly payments are required unless your trip is paid in full. We highly encourage enrolling in AutoPay to help you stay on track and avoid missed payments.

Our complimentary AutoPay option automatically divides your remaining balance into manageable scheduled payments after your initial deposit. Your payment amounts and due dates will be clearly outlined on your invoice at the time of booking, making it easy to budget for your upcoming adventure.

Terms & Conditions

Terms & Conditions
Submitting a reservation and making a payment for this experience signifies your acceptance of the Halia Experiences Terms & Conditions.

Payments & Cancellation Policy
All payments made to Halia Experiences are non-refundable and non-transferable. We secure hotel accommodations, transportation, activities, and other travel arrangements well in advance through contractual agreements with our travel partners. As a result, funds paid toward your reservation cannot be refunded or transferred to another trip, traveler, or travel date.

Travel Documents
It is your responsibility to ensure you have the proper travel documents required for your destination. Travelers should verify passport, visa, and entry requirements directly with the appropriate consulate or government agency.

Passports must be valid for at least six months beyond your travel dates. Your reservation must be made in your legal name exactly as it appears on your passport. Any fees incurred due to name corrections or changes are the responsibility of the traveler.

Travel Protection
Life happens, and unexpected situations can arise. For that reason, Halia Experiences strongly recommends purchasing travel protection to help protect your investment. Travel insurance may provide coverage for trip cancellations, interruptions, baggage delays, medical emergencies, and more.

Airfare & Seat Assignments
Seat assignments are controlled by the airline and cannot be guaranteed by Halia Experiences. Unless otherwise specified, airfare is not included in your package price.

Pricing
Package prices are subject to change until a deposit is received. Once your reservation is confirmed and deposit received, your pricing is locked in according to the terms of your reservation.

Payment Plans
To keep your reservation active, monthly payments must be made according to your selected payment plan. Your payment schedule will be outlined on your invoice and in your client portal. We recommend adding payment dates to your personal calendar to avoid missing a payment.

If you are sharing accommodations, each traveler is responsible for ensuring their portion of the reservation remains current.

Roommate Matching Program
Traveling solo but interested in double occupancy pricing? Our roommate matching program may be available for select trips. While we work diligently to match travelers requesting roommates, roommate assignments cannot be guaranteed.

Client Portal Access
You may access your reservation details, payment history, invoices, and trip information through your client portal at any time.

Name Changes
Name changes may be permitted depending on supplier policies and timing. A minimum administrative fee of $250 plus any applicable supplier fees will apply.

Late Payments
A late payment fee of $250 per person may be assessed after the final payment deadline. Any request for an extension must be submitted and approved prior to the final payment due date. Approval of late payment requests is not guaranteed.
